About Club Supporter

What is Club Supporter?

Club Supporter is a club management platform built for grassroots sports organisations in the UK. It brings membership registration, recurring subscriptions, teams and groups, events and bookings, chat and communications, reporting, online club shops and other essential administration into one system.

It is designed to reduce the time volunteers spend maintaining spreadsheets, reconciling payments and chasing routine administration.

What types of club can use Club Supporter?

Club Supporter can be used by football, cricket, rugby union, rugby league, boxing, tennis, darts, gymnastics, basketball, athletics, golf and dance clubs, as well as other sports, societies and membership organisations.

The platform can be configured around your club's own structure, membership plans and information requirements. Sport-style teams and flatter membership groups, such as bar members or vice presidents, can be switched on to suit how your club is organised.

Is Club Supporter suitable for both small and large clubs?

Yes. Club Supporter is designed for anything from a single team or a small club with around 30 members to a large multi-team organisation with thousands of members.

Core includes unlimited active subscriptions, payment plans, registration forms and teams or groups, so your club can grow without having to rebuild its administration elsewhere.

Do we need technical knowledge to use it?

No. A step-by-step checklist guides you through setup, and most screens have a Watch How video showing exactly what to do. You can complete the setup yourself or ask the Club Supporter team for help.

Is Club Supporter only for collecting subscriptions?

No. Subscription collection is a major part of the platform, but Club Supporter also manages registration information, teams and non-playing groups, events and ticketing, pay-as-you-play sessions, chat, club communications, reporting, galleries, club documents, welfare and support cases, online shops and fundraising.

Is Club Supporter branded for our club?

Yes. The platform supports club branding across areas including the member portal, emails and the in-app experience. Custom-domain options are also available within the platform's enhanced branding features.

Can we see Club Supporter before signing up?

Yes. You can book a personalised demonstration, or you can create an account and begin the guided setup yourself.

Getting started and onboarding

Can our club set up Club Supporter itself?

Yes. Once you sign up, a Get Started checklist in the top bar walks you through each step: connecting GoCardless, choosing your subscription options, adding a payment plan and a registration form, creating your first team and linking it to a subscription. Each step ticks itself off as you save, and you can do them in whatever order suits you.

If you would rather have support, the Club Supporter team can help you through the process.

Do we have to book a demonstration first?

No. You can sign up and begin the onboarding process immediately. A demonstration is available if you would like to discuss your requirements or see how the platform could fit your club before you start.

How quickly can we get started?

You can begin configuring your club as soon as you create an account, and each setup step only takes a few minutes. The time needed to begin collecting payments depends on how quickly you complete the checklist and how long GoCardless takes to verify your club.

Do we need a club bank account?

Yes. The bank account connected to GoCardless must be in the club or organisation's name. GoCardless will ask for a 1p bank payment during verification, so it is useful to have the treasurer or another person with access to the bank account available.

Can Club Supporter help us with onboarding?

Yes. Every club has an account manager, and the support team can help if you do not want to complete the setup entirely on your own.

Where do we sign in after setting up?

Use the Club Supporter application to sign in to your club account. Android users can also download the Club Supporter app from Google Play.

Can our club pass transaction fees on to members?

Yes. Under Pricing Options you can choose to include fees within your subscription prices or add them to each payment as a service charge. You can change this at any time without affecting your packages.

You can also switch on Round to a Pound, which rounds payments up to the nearest pound so more of each payment reaches the club.

What is the current new-club offer?

For a limited time, eligible new clubs receive:

What is the Case Management Package?

The Welfare & Support Case Management Package gives your club confidential tools for two jobs. Support requests let members ask the club confidentially for practical, financial or wellbeing help.

The advertised price is £9.95 per month.

Can we add an optional package later?

Yes. Optional packages can be added from Pricing Options in the application whenever your club needs them. They are billed monthly to the club by Direct Debit.

GoCardless and receiving funds

Why does Club Supporter use GoCardless?

GoCardless provides the Direct Debit infrastructure used to collect recurring payments. Direct Debit is reliable for ongoing subscriptions and does not expire when a member receives a replacement bank card.

Club Supporter adds the membership, retry, reconciliation, refund and administration tools around those payments.

Do we need our own GoCardless account?

Yes. Where GoCardless is used, the club maintains its own verified GoCardless account and has a separate contractual relationship with GoCardless. Club Supporter connects to that account to manage payments through the platform.

Can we connect an existing GoCardless account?

Yes. If your club already has a GoCardless account, you can sign in to it during setup rather than creating a new one.

Which GoCardless plan should we select?

Select the Standard GoCardless plan. The features clubs would normally seek from higher GoCardless tiers are already provided through Club Supporter, so a higher tier is not required for the integration.

How is the GoCardless account verified?

GoCardless will ask for information about your organisation, its contact details and the bank account into which payouts will be made. It will normally require a 1p payment from that account to confirm ownership. The organisation name should match the name on the bank account.

What business category should we choose in GoCardless?

For a typical sports club, the setup guide recommends:

  • Industry: Amusements & Entertainment
  • Sector: Membership Clubs (Sports...)
  • Business description: Grassroots Sports Club, or similar

Choose the appropriate legal business type for your organisation, such as Charity/Non-Profit or Limited Company.

How quickly do Direct Debit payments reach our bank account?

Provided daily payouts are enabled in GoCardless, funds are normally paid into the club's bank account within three working days of collection. The Dashboard shows what is still processing, what is confirmed for your next payout and what is on its way to your bank today.

How quickly do Pay by Bank payments settle?

Pay by Bank payments normally settle the following day.

Subscriptions, payments and refunds

Can we create different membership and subscription plans?

Yes. You can create as many plans as your club needs, including adult, junior, family, concessionary or team-specific options. Each plan has its own price, collection day and months of collection, so a plan can be monthly, annual, termly or charged in blocks of sessions. Pay-as-you-play plans charge per attended session instead of monthly.

Are recurring payments collected automatically?

Yes. Once a subscription and Direct Debit mandate are active, Club Supporter manages the recurring billing automatically. Payment records update within the platform, reducing manual reconciliation.

Can we choose the collection day?

Yes. Clubs set the collection day on each plan, and choose which months of the year it collects in, so planned breaks such as the summer can be built in.

Can we collect a joining or sign-on fee?

Yes. A sign-on fee can be added to a subscription. You can rename it to suit your club, for example Kit Fee or Due Immediately.

Can we collect one-off payments?

Yes. Club administrators can request one-off or block payments in addition to recurring subscriptions, and the member is emailed automatically when one is added.

What happens when a Direct Debit payment fails?

Club Supporter records the failed payment and automatically retries it two more times, with each retry taking place five days after the previous attempt. This gives three collection attempts in total.

Each time a payment fails, Club Supporter automatically lets the member know it will be tried again, so your volunteers don't need to send reminders or chase anyone.

Most failed payments recover without manual intervention. If the final attempt is unsuccessful, the payment remains visible for administrator follow-up, and team admins receive a month-end arrears email.

Can a missed payment be paid immediately?

Yes. Club Supporter includes a Pay Now option for missed payments, allowing an outstanding amount to be recovered without waiting for another normal subscription collection.

Can administrators see who is in arrears?

Yes. Subscriptions are shown as Active, In Arrears, Paused or No Mandate, and administrators can filter by status or team to find the subscriptions that need follow-up.

Can we record a payment taken outside Club Supporter?

Yes. The platform supports offline payment management, including marking an amount as paid outside the automated payment flow. Pay-as-you-play sessions can also be marked as paid in cash from the register.

Can we pause or cancel a member's subscription?

Yes, but this is controlled by authorised club administrators. Members cannot pause, move, change or cancel their own subscription directly.

Can we change a member's plan or payment date?

Yes. Authorised administrators can change the plan or collection day, move a subscription and reinstate a subscription where required. The member is emailed automatically when this happens.

Can we apply discounts or additional charges?

Yes. Clubs can apply discounts and supplements to individual subscriptions to reflect their own membership rules or additional charges.

Can family and volunteer discounts be applied automatically?

Yes. Clubs using the Performance Package can set up automatic discounts. Family discounts group subscriptions so siblings are discounted. Volunteer discounts give team admins, managers and coaches a reduced rate on their own subscription, with a separate value for each role set on the plan.

After changing your discount rules, press Sync and Club Supporter applies them to existing members' subscriptions.

Can we offer a discount for playing in more than one team?

Yes. With the multi-team discount, you tick which subscriptions count as teams. A player's first ticked team is charged at full price and every later team is discounted by the amount set on its plan. You can also choose not to charge a second sign-on fee for subsequent teams.

What happens when someone joins partway through a season?

The Performance Package includes pro-rata and Smart Payments. A club can define the period a member should pay for, and Club Supporter can divide the remaining amount across the months left in that period.

Can we issue refunds?

Yes. Club admins can refund paid event bookings and membership payments from inside Club Supporter, in full or in part. The member is told automatically when the refund lands; members and the public never see a refund button themselves.

Club Shop orders are refunded by Club Supporter rather than the club. Only club admins can issue refunds; team admins, managers and coaches cannot.

How do we switch refunds on?

There are two switches. In Club Supporter, go to Settings, then Subscriptions, then General, and turn on Allow admins to issue refunds. Refunds must also be enabled in GoCardless itself: sign in at manage.gocardless.com, open Settings from the top-right menu, choose Company settings and enable refunds there.

Once both are on, a Refund action appears on paid event bookings and membership payments.

How long does a refund take?

GoCardless holds refunds for seven days after a payment's charge date, so a payment that later fails or is charged back is never refunded. If you ask for a refund inside that window, Club Supporter queues it and tries again every morning, so it goes on the first day GoCardless accepts it.

Refunds come out of your GoCardless refund balance. If that balance is short, the refund is retried daily for up to 90 days and you are emailed when it completes. Every queued and recent refund is listed on the Dashboard.

Does Club Supporter help with reconciliation?

Yes. Payments are matched to the appropriate subscriptions, records update automatically, and the payouts report checks each payout against the payments that made it up, so you don't need to cross-reference a separate bank spreadsheet.

Membership registration and member information

Can we create our own registration forms?

Yes. Clubs can create customised registration forms and decide which information must be collected during sign-up.

What information can we collect?

Forms can include standard and custom fields such as member details, emergency contacts, medical conditions, allergies, kit sizes, photo or media consent and information about how the member heard about the club.

Can fields be made required or optional?

Yes. Your club decides which information is mandatory and which questions are optional.

Is the person paying stored separately from the player or member?

Yes. Club Supporter separates the subscriber, the person responsible for the payment, from the player or member receiving the membership. This supports junior memberships, family structures and more accurate member records. The subscriber can also share a player with a second parent or carer through linked accounts.

Can a player belong to more than one team?

Yes. A player can belong to one team or several teams without creating duplicate player records, and the multi-team discount can reduce the cost of additional teams.

Can we store player photographs?

Yes. Player profiles can include a headshot and a full-body pose image. Club Supporter can remove a clean image background automatically so the photograph can be used consistently across supported player graphics and profiles.

Can we record sport-specific registration numbers?

Yes. Club Supporter supports sport-specific ID formats. Football clubs can also use the Whole Game checker where applicable.

Who can see sensitive member information?

Access is controlled by role. For example, an authorised coach can access relevant emergency or medical information for their squad, while welfare information is restricted to appropriate welfare roles. Users should only see the information required for their responsibilities.

Can we export our membership data?

Yes. Clubs can export their member data from CSV Downloads for purposes such as insurance, affiliation, funding applications, local-authority checks or an offline record.

What should a member do if their information is wrong?

The member should contact an authorised club administrator, who can correct the information held against their membership or player record.

Teams, groups and club roles

What is the difference between a team and a group?

A team represents a sporting squad, with a roster, squad numbers and details such as format, age group and gender. A group is a flatter membership pool for people who belong to the club but are not organised as a sports team, such as social members, bar members, vice presidents or a veterans section.

You can switch either type on or off in Settings so the app only shows the structures your club actually uses.

Is there a limit on the number of teams or groups?

No. Core includes unlimited teams and groups.

Can members belong to several teams?

Yes. A single player or member record can be connected to more than one team.

What roles can be assigned to a team?

Each team can have up to three Team Admins, three Team Managers and three Team Coaches, plus a Social Media Manager. Team Admins are shown to members as the team's contact and receive its month-end arrears emails. Each role can have its own volunteer discount rate.

Club-wide administrators and welfare officers are managed separately through the Users page.

Do coaches get access to the whole club?

No. Team staff work with the teams they are assigned to. They can run the team's calendar and registers, charge pay-as-you-play sessions, see players' details and registration forms, set squad numbers, view who has subscribed and their payment status, and post in the team chat.

Only club admins can change, cancel or refund subscriptions and payments, create club-wide events, add or remove players, set up discount codes or give team permissions to others.

Can we contact a particular team or selection of teams?

Yes. Communications can be sent to one team, several selected teams or the whole club by email or SMS. Clubs on the Performance Package can also use each team's chat.

Can pricing rules be linked to teams?

Yes. Each team's subscription has its own payment plans, registration form and optional sign-on fee, and you choose whether family, volunteer and multi-team discounts apply to it.

Can a team have its own sign-up link?

Yes. Team or group sign-up links are available within Club Supporter's enhanced plan-management features, making it easier to direct people to the correct option.

What happens to an old team?

It can be archived rather than deleted. This removes it from the main active-team list while retaining its players, photographs and history.

Can we display team sponsors?

Yes. Teams can maintain a sponsor gallery alongside their team information and photographs.

Can someone manage a team's social media without wider access?

Yes. Each team can have a Social Media Manager. They can link the team's social accounts, create and post team graphics and see the roster photos, but they have no access to subscriptions, payments or player details.

Events, calendar and pay as you play

Are events included in Core?

Events, the club calendar, ticketing and pay-as-you-play sessions are part of the Performance Package. It can be added from Pricing Options at any time.

Explore Events

What types of event can we create?

There are five types, and the type decides how the event is priced:

  • Training for one team, which can repeat weekly
  • Match against another club, with attendance or tickets
  • Team event such as a social or presentation, attendance only
  • Club event for one or more teams, or the public only, always ticketed whether free or priced
  • Holiday camp over several days, priced for the whole camp or per day

Tournaments are coming soon.

How do players respond to training and matches?

Club Supporter automatically asks players, or their parents, for their availability. They reply Going, Maybe or Not going from their own dashboard or from the request posted in the team chat. Coaches can see the responses and take the register at the session.

Can we sell tickets or take bookings?

Yes. Matches can optionally take bookings, and club events and holiday camps are always ticketed. For each one you choose whether tickets are for members only or members and the public, whether they are free or priced, and whether places are limited.

Each booking gets a QR code ticket, which can be saved to a phone wallet and scanned at the door with the Club Supporter app.

How do holiday camp bookings work?

You set a whole-camp price and can let families book individual days instead. Optional paid extras can be added alongside the booking, and you can limit the number of places. When a camp is full, families can join a waiting list and are sent a pay link if a place opens up.

Members can be offered early booking and a member price, applied automatically when they book through the app. On the day, the attendance view shows who is on site and records drop-off and collection times.

Can we import our FA fixtures?

Yes. Each team's calendar has an Import Fixtures option. Imported matches start as provisional, which means families see the date but not the time or location, until a coach or admin confirms them.

Can we set up repeating training sessions?

Yes. Tick Repeat weekly when creating a training session and Club Supporter sets up the following weeks for you, so you don't need to create each session separately. A single week can still be changed or cancelled on its own.

What is the What's On page?

What's On is your club's public events page, available by default. Anyone can browse events open to the public and book tickets without joining the club. You can also choose to advertise public ticketed events on every team's dashboard so families across the club see them.

Can we offer member discounts or discount codes?

Yes. Members can receive an automatic percentage discount on an event's base price (extras are excluded), and admins can create percentage-off discount codes for public bookings.

Do events show venue and travel details?

Yes. You can save your club's own locations and choose one for each event, or enter another venue. Each event links to Google Maps and includes a When should I leave? prompt so members can plan their journey. For away matches, you can choose from the opponent club's saved locations.

How does pay as you play work?

Pay as you play is for sessions where players only pay when they turn up, which is common for younger age groups. You can give a team a pay-as-you-play plan, which charges per attended session with nothing billed monthly, or add a pay-as-you-play charge to any training session or match.

When the register is taken after the session, the coach confirms each player and can keep the suggested charge, change it, charge nothing or mark it as paid in cash. Payment is then collected from the player's Direct Debit.

Can pay as you play be combined with a monthly subscription?

Yes. A team can have a normal monthly subscription and a pay-as-you-play charge on its matches or sessions, for example a monthly sub plus a fee for each game played. Pay-as-you-play charges do not apply to ticketed events.

What happens when an event is changed or cancelled?

The team is notified automatically when an event is added, when its time or place changes, or when it is cancelled. If a paid booking needs to be returned, a club admin can refund it in full or in part.

06 answers

Users, access and permissions

Can more than one person help administer the club?

Yes. User management allows the club to give appropriate access to authorised volunteers and officials rather than relying on a single shared login.

Should volunteers share an administrator login?

No. Each authorised person should use their own account. This is more secure and allows the club to control access according to each person's responsibilities.

Can access be limited by team?

Yes. Team roles allow coaches and other team officials to work with their own squad without automatically receiving access to every team or every area of club administration.

Does a coach need their own subscription to get access?

No. Coaches, managers and team admins can be given the access their role needs without holding a subscription to the team.

Can welfare access be kept separate from normal administration?

Yes. Welfare Officers have a specific role, and confidential welfare and support case information is restricted to the appropriate authorised users.

Does the club remain in control of access?

Yes. Club administrators manage authorised users and roles. The club is also responsible for keeping its account details current and removing access when a volunteer or official no longer requires it.

Communications, chat and notifications

What communication tools are available?

Club Supporter supports bulk email and SMS, an email builder and templates, customisable automatic emails, in-app and push notifications, and, on the Performance Package, team chats, group chats and a club noticeboard. Messages are targeted using the membership and team information already held in the platform.

Who can receive a message?

You can contact a specific team, a selection of teams or the whole club. This helps ensure messages reach the relevant players, parents, members or coaches without manually copying contact lists between systems.

How many emails are included?

Core includes two emails per member per month. The Performance Package includes unlimited email sending.

How are extra emails and SMS paid for?

Sends beyond your monthly allowance are paid from your club credit balance, which you can top up under Settings, then Communication. The allowance refreshes on the 1st of each month, and every top-up and send is listed in the credit history.

SMS is charged per message segment per recipient, so a long text costs more than a short one. You can set an SMS sender name of up to 11 characters so members recognise your club.

Can we create branded emails and templates?

Yes. Club Supporter supports club-branded emails, an email builder and a reply-to address of your choosing. Clubs on the Performance Package can save reusable templates for regular sends, such as a match-day message.

Can we customise the emails Club Supporter sends automatically?

Yes. You can create your own version of more than thirty automatic emails, including sign-up confirmations, subscription changes, arrears reminders, booking confirmations, refunds and password resets. Add club-specific details so members know exactly what to do next, and revert to the platform default at any time.

Can we send SMS messages?

Yes. SMS can be used for shorter or time-sensitive communications and is paid for from your club credit balance.

What chats can we set up?

On the Performance Package there are three kinds of chat:

  • Team chats, switched on from each team's settings, with new players added automatically
  • Group chats that admins create for any set of people, such as a tour party, a parents' group or the coaching team
  • Club chat, a noticeboard every member with a live membership can read and react to, where only club admins post
What can coaches and members do in team chat?

Team staff can post, pin messages and run polls. Availability requests and booking openings appear in the chat as cards, so players can respond without leaving the conversation. Everyone can reply to messages, react and share photos, and admins can move photos into the team gallery or share gallery photos back to the chat.

Members can block another user from their account settings if they need to.

Can club admins read team chats?

Yes. Club admins can read every team chat. To post, pin messages or run polls in a team chat, an admin also needs a role on that team.

What is the Notification Centre?

The bell icon in the top bar opens the Notification Centre, which collects every update in one place: new sign-ups, membership changes, event changes and cancellations, bookings, shop orders, welfare and support items and club news. Each notification links straight to the information behind it, and you can filter by category or dismiss items you've dealt with.

Can people choose how they are notified?

Yes. In notification settings each person can turn in-app notifications and push notifications on or off. Notifications someone is required to receive, such as welfare cases they handle, always arrive. Team staff can also mute a team's alerts from the bell beside its name.

Is there a Club Supporter mobile app?

Yes. The Club Supporter app is available now on Google Play for Android phones. The iPhone app has been submitted to Apple's App Store and will be available once it is approved. Until then, iPhone users can keep using Club Supporter in their web browser.

The app delivers push notifications straight to members' phones, which helps updates get noticed.

Can we publish club news?

Yes. Admins can write articles, match reports and announcements for the whole club or a single team. Members read them on their Home page, the team page and the News page, and new articles appear in their notifications.

Can we post team graphics to social media?

Yes. Each team can link its social accounts, then create a graphic, add a caption and post it straight from Club Supporter. Access can be given to a Social Media Manager without any other team permissions.

Who is responsible for communication consent?

The club is responsible for ensuring it has the required permissions and lawful basis to contact recipients, for the content of messages it sends, and for complying with UK GDPR, PECR and unsubscribe requirements.

What additional reporting is included in Performance?

Performance adds the custom report builder and monthly email reporting, allowing clubs to create, save and reuse more tailored reports.

Can reports be filtered and customised?

Yes. Reporting can be filtered using criteria such as team, membership tier, date range and payment status. The report builder lets you combine filters and choose your own columns, including payment-plan details.

Can we report on events and refunds?

Yes. You can review event booking and refund activity, and export order-level CSV files when you need the detail outside Club Supporter.

Yes. Team-based reporting helps clubs understand the membership income generated by different parts of the organisation and identify teams where members have not converted into active payment.

Yes. Club Supporter tracks missed payments and provides filters to help administrators find the subscriptions requiring attention. A treasurer summary and arrears reminders can also be sent automatically at the end of each month.

Does Club Supporter provide cashflow projections?

Can reports be exported?

Yes. Reports and underlying membership information can be exported as CSV files when the club needs to share or work with the data outside Club Supporter.

Who manages fulfilment?

Club Supporter provides the full fulfilment service. Members place and pay for orders online, and Club Supporter handles the order through production and delivery.

Can we design our own club kit?

Yes. The visual kit builder lets your club select base colours, add its badge and sponsor branding, and configure supported personalisation such as initials or squad numbers.

What products can we sell?

The range can include playing kit, training wear, hoodies, coats, hats and water bottles, with products presented in your club's colours and branding. There is also a separate coaches' range for team staff.

Is there a minimum order quantity?

No. Members can order individually, so the club does not have to collect money or wait until it reaches a bulk-order quantity.

Can the club set its own selling price?

Yes. The club can set its retail prices and add a markup to products.

Does the club earn money from shop sales?

Yes. The difference created by the club's markup generates income for the club. Amounts due to the club are reconciled and paid monthly in arrears, subject to any refunds, disputes, chargebacks or other necessary adjustments.

Where can customers check product sizes?

The Club Supporter Size Guide contains measurements for the available garment types and size ranges.

View the Size Guide

Who helps with an order problem?

Club Supporter provides live support for shop orders. Customers should have their order details available when they contact the team.

Galleries, player images and storage

Can each team have its own gallery?

Yes. Team Galleries provide a place to build a photographic history for each squad across seasons, tournaments and other club activity.

Are galleries available on every plan?

Yes. Every plan includes some image storage. The amount of available standard- and high-resolution storage depends on the package selected by the club.

What is the difference between standard and high-resolution images?

Standard-resolution images are suitable for normal online use. High-resolution images retain more detail where the club needs a larger or better-quality original.

What does the Storage Package include?

The Storage Package increases capacity to 10,000 standard-resolution images and 200 high-resolution images for £9.95 per month.

Can photos shared in chat be added to the gallery?

Yes. Members can share photos in team chat, and admins can move them into the team gallery. Gallery photos can also be shared back into the chat.

Are gallery images lost when a team is archived?

No. Archiving a team removes it from the active list while preserving its gallery, players and history.

Can player profile photographs be stored separately?

Yes. A player can have both a headshot and a full-body pose image. Where the source image has a clean background, Club Supporter can remove that background automatically.

Who is responsible for permission to use photographs?

The club is responsible for obtaining and recording any consent or lawful basis required to upload, store, share or publish photographs, particularly where children are involved.

Can documents be shared with members?

Yes. The club can choose which documents remain internal and which are made available to club members.

Can members be asked to agree to a code of conduct?

Yes. A club can require parents or players to agree to specified codes of conduct during the checkout or registration process.

Who controls the documents?

Authorised club administrators manage the documents, their visibility and any requirement for member agreement.

Does Club Documents replace the club's responsibility for keeping policies current?

No. Club Supporter provides the storage, sharing and agreement tools, but the club remains responsible for the content, approval and review of its policies and procedures.

Welfare, support and case management

What is the Case Management Package designed for?

It helps a club receive welfare incident or concern reports, restrict access to authorised Welfare Officers, manage a case through to a recorded outcome and keep supporting evidence and history in one secure place. It also handles confidential support requests from members.

Who can access confidential cases?

Confidential case-management access is limited to authorised Welfare Officers rather than being available to ordinary team users or all club administrators.

Can someone outside the club submit information?

Yes. A Welfare Officer can issue a single-use reporting link to someone outside the club. That person can provide the requested information without needing a normal Club Supporter account.

Can witnesses provide documents and consent?

Yes. The secure witness portal supports statements, documents and consent without requiring the witness to log in to the main club platform.

Can a referral be sent to our governing body?

Yes. You record the governing bodies your club is affiliated to, such as your county FA, and choose a primary body. When a welfare referral requires a governing body to be notified, the notification goes to that body's safeguarding contact. Contact details come from published directories, so your club should confirm they are correct.

Does the system keep an audit history?

Yes. The package includes sealed assessments and a complete case audit history, helping the club maintain a record of what happened and when.

Can a case be exported?

Yes. Case information can be exported by an authorised user when it needs to be retained or shared through an appropriate safeguarding process.

What are support requests?

Support requests let a member ask the club confidentially for practical, financial or wellbeing help, for themselves or someone else. They say what kind of support they need, how urgent it is and how they would like to be contacted, and the request is handled privately by the club's support team. Safeguarding concerns should still be raised as a welfare report.

Who handles support requests?

Requests go to the people your club authorises to handle support cases, not to every admin or coach. Members can follow the progress of their own requests from My Requests.

Is welfare case management included in Core?

No. It is provided through the optional Welfare & Support Case Management Package, advertised at £9.95 per month.

Does the software make safeguarding decisions for the club?

No. It provides secure reporting, evidence and case-recording tools. The club and its authorised safeguarding personnel remain responsible for assessment, decisions, escalation and compliance with their governing body's procedures.

Joining and registration

How do I join my club through Club Supporter?

Use the registration or plan link provided by your club. The sign-up process will guide you through selecting the relevant membership, entering the required information and setting up payment.

Am I registering myself or someone else?

The sign-up process distinguishes between the person responsible for the subscription and the player or member receiving the membership. This allows a parent or guardian to register a child while remaining responsible for the payment.

What information will I need to provide?

This depends on the club. It may ask for contact information, emergency contacts, medical conditions, allergies, kit size and relevant consents. The club decides which questions are required.

Why does my club ask for medical and emergency information?

This gives appropriately authorised club officials access to important information when it is needed, such as a coach checking an emergency contact or relevant medical note at training or a match.

Who can see the information I submit?

Access is based on club roles. Authorised people see only the information required for their responsibilities. For example, an appropriate coach may see relevant squad information, while confidential welfare and support cases are restricted to the people the club authorises to handle them.

What should I do if my information changes?

Contact your club administrator and ask them to update the relevant membership or player record.

Member subscriptions and payments

How will my membership payment be collected?

Recurring membership payments are normally collected by Direct Debit through GoCardless. Your club may also use Club Supporter for sign-on fees, one-off payments, event bookings, pay-as-you-play sessions or Pay by Bank transactions.

Will I need to make the payment manually every month?

No. Once your Direct Debit mandate and subscription are active, recurring payments are requested automatically according to the plan configured by your club.

How does pay as you play work for me?

If your team is pay as you play, you are only charged for the sessions your player attends. After each session the coach takes the register, and the session fee is collected from your Direct Debit. Nothing is billed on a monthly basis unless your club also runs a monthly subscription for the team.

Why is the amount different from the club's basic membership price?

Your club may have applied a joining fee, supplement, discount or transaction fee. Contact the club administrator if you need a breakdown of the amount charged.

What happens if my Direct Debit payment fails?

Club Supporter automatically retries the payment twice, with each new attempt made five days after the previous one, and lets you know each time. If all three attempts fail, the outstanding payment remains visible to the club for follow-up.

Can I pay a missed payment without waiting for the next retry?

Where the option is available, you can use Pay Now to clear the missed amount. Your club administrator can help if you cannot see the option or are unsure what is outstanding.

Can I pause or cancel my own subscription?

No. Subscription changes, pauses and cancellations are controlled by authorised club administrators. Contact your club directly and follow its membership or notice policy.

Can I change my membership plan or collection date?

Not directly. Ask your club administrator, who can make permitted changes to your plan or collection date.

Can I get a refund?

Refund decisions are made by your club, so contact the club first. Club admins can refund membership payments and event bookings in full or in part through Club Supporter. There is no refund button for members; you will be told automatically when a refund has been issued.

For a problem with a Club Shop order, contact Club Supporter support instead.

How long will a refund take to reach me?

Refunds are paid back to the account the payment came from. For safety, GoCardless holds refunds until seven days after the original payment was taken, so a refund requested shortly after you paid may take up to a week to be sent. You will be notified when it has gone.

Can my family receive a sibling discount?

If your club offers family or sibling discounts and has configured them through the Performance Package, Club Supporter can apply the club's rules automatically. Some clubs also discount a player's second or later team. The eligibility and amount are decided by your club.

Can a volunteer coach receive a discount?

If your club offers a volunteer discount, team admins, managers and coaches can receive a reduced rate on their own subscription automatically. The club decides the eligibility rules and the amount.

Events, tickets and bookings

How do I tell the coach whether we can make training or a match?

When your club asks for availability, reply Going, Maybe or Not going from your dashboard or from the request in your team chat. You can change your answer if your plans change.

How do I book a club event or holiday camp?

Events for your team appear on your dashboard, where you can book and pay. Public events can also be booked from your club's What's On page, even if you are not a member. For holiday camps you may be able to book the whole camp or individual days. If an event is full, you can join the waiting list and will be sent a link to pay if a place becomes available.

Where is my ticket?

Your ticket is a QR code, one per booking, sent with your booking confirmation and shown in the app. You can save it to your phone wallet. Show it at the door and a club official will scan it with the Club Supporter app.

Why can I only see the date of a match?

Imported fixtures stay provisional until the club confirms the kick-off time and venue. Until then you will see the date only. The details appear as soon as they are confirmed, and you will be notified if anything changes.

How do I get to an event?

Each event shows the venue with a link to Google Maps, and a When should I leave? prompt to help you plan your journey.

Communications, chat and accounts

What messages can my club send through Club Supporter?

Your club can send branded emails and SMS messages to the whole club, selected teams or groups, and post news, team chat messages and club noticeboard updates. Messages may include membership, payment, team, event or general club information.

Where do I see updates from my club?

Tap the bell icon in the top bar to open your notifications. It shows event changes and cancellations, booking confirmations, membership updates, news and more, and each one links straight to the details. You can turn in-app or push notifications off in notification settings.

Can I chat with my team?

If your club uses team chat, you will be added to your team's chat automatically when you join. You can reply to messages, react, vote in polls, respond to availability requests and share photos. If you need to, you can block another user from your account settings.

Is there an app?

Yes. The Club Supporter app is available on Google Play for Android phones, and the iPhone app is awaiting approval from Apple. iPhone users can use Club Supporter in their web browser in the meantime.

Can my child's other parent or carer have access too?

Yes. The person who manages the subscription can share a player through Linked Accounts in My Account. The other parent or carer is invited by email and signs in with their own account. Neither of you shares a password.

What can a linked parent see?

A linked parent can follow the player's teams, fixtures and photos, respond to events and join the team chat. They never see the subscriber's subscriptions or payments.

Can I ask my club for help confidentially?

If your club offers it, you can make a support request in the app for practical, financial or wellbeing help, for yourself or someone else. Requests are handled confidentially by the club's support team. If you need to report a safeguarding concern, use Make a Welfare Report instead.

Why have I received a Club Supporter email or SMS?

Club Supporter sends communications on behalf of your club using the contact information connected to your membership or account. Contact your club if you think you have been included in the wrong team or communication group.

Who should I contact about my team, membership price or club policy?

Contact your club directly. The club controls its teams, prices, membership rules, discounts, subscription changes and policies.

Who should I contact about a technical problem?

You can contact Club Supporter through the in-app live chat during UK business hours, leave an offline message at other times, or email support@clubsupporter.co.uk. For account-specific changes, the support team may need to involve an authorised club administrator.

Club Shop orders

Where can I find my club's shop?

If your club has enabled its shop, it appears within the same Club Supporter platform used for membership and subscriptions. You do not need a separate shop account.

Can I order a single item?

Yes. There is no need to wait for the club to place a bulk order. Members can order the products they need individually, and checkout is designed to work well on a phone.

Can products be personalised?

Available personalisation depends on the product and the design selected by the club. Supported options can include initials and squad numbers.

How do I choose the correct size?

Check the Club Supporter Size Guide before ordering. Because branded and personalised products are made to order, it is important to check the garment measurements rather than relying only on the size name.

Check the Size Guide

How long will my branded kit take?

Branded kit normally takes two to four weeks for production and delivery.

Can I collect my order?

No. Orders are delivered; collection is not currently available.

Can I return an item?

Who should I contact about an order problem?

Contact Club Supporter through live support and provide your order details so the team can investigate. Shop refunds are handled by Club Supporter rather than your club.
