Sports club management software FAQs for clubs and administrators
About Club Supporter
What is Club Supporter?
Club Supporter is a club management platform built for grassroots sports organisations in the UK. It brings membership registration, recurring subscriptions, teams and groups, communications, reporting, online club shops and other essential administration into one system.
It is designed to reduce the time volunteers spend maintaining spreadsheets, reconciling payments and chasing routine administration.
What types of club can use Club Supporter?
Club Supporter can be used by football, cricket, rugby union, rugby league, boxing, tennis, darts, gymnastics, basketball, athletics, golf and dance clubs, as well as other sports, societies and membership organisations.
The platform can be configured around your club's own structure, membership plans and information requirements.
Is Club Supporter suitable for both small and large clubs?
Yes. Club Supporter is designed for anything from a single team or a small club with around 30 members to a large multi-team organisation with thousands of members.
Core includes unlimited active subscriptions, payment plans, registration forms and teams or groups, so your club can grow without having to rebuild its administration elsewhere.
Do we need technical knowledge to use it?
No. An onboarding wizard guides you through the setup process step by step. You can complete the setup yourself or ask the Club Supporter team for help.
Is Club Supporter only for collecting subscriptions?
No. Subscription collection is a major part of the platform, but Club Supporter also manages registration information, teams and non-playing groups, club communications, reporting, galleries, club documents, welfare cases, online shops and fundraising opportunities.
Is Club Supporter branded for our club?
Yes. The platform supports club branding across areas including the member portal, emails and the in-app experience. Custom-domain options are also available within the platform's enhanced branding features.
Can we see Club Supporter before signing up?
Yes. You can book a personalised demonstration, or you can create an account and begin the guided setup yourself.
Getting started and onboarding
Can our club set up Club Supporter itself?
Yes. The onboarding wizard walks you through the key steps, including configuring your club, creating plans and connecting your payment account. If you would rather have support, the Club Supporter team can help you through the process.
Do we have to book a demonstration first?
No. You can sign up and begin the onboarding process immediately. A demonstration is available if you would like to discuss your requirements or see how the platform could fit your club before you start.
How quickly can we get started?
You can begin configuring your club as soon as you create an account. The time needed to begin collecting payments depends on how quickly you complete the onboarding steps and how long GoCardless takes to verify your club.
Do we need a club bank account?
Yes. The bank account connected to GoCardless must be in the club or organisation's name. GoCardless will ask for a 1p bank payment during verification, so it is useful to have the treasurer or another person with access to the bank account available.
Can Club Supporter help us with onboarding?
Yes. Every club has an account manager, and the support team can help if you do not want to complete the setup entirely on your own.
Where do we sign in after setting up?
Use the Club Supporter application to sign in to your club account.
Pricing, Core and optional packages
How much does Club Supporter Core cost?
Club Supporter Core has no monthly platform licence fee. Instead, a transaction fee applies when payments are processed through the platform.
The current standard rates are:
- Charities, CASCs and constituted clubs: 1.5% + 20p per transaction
- CICs and limited companies: 1.75% + 25p per transaction
These rates include GoCardless payment-processing fees and exclude VAT.
Are there any monthly platform fees for Core?
No. Club Supporter Core has zero monthly platform fees. Optional packages and managed services are charged separately if your club chooses to add them.
Are the GoCardless fees included in the advertised transaction rate?
Yes. The published Club Supporter transaction rates include the GoCardless processing fee. VAT is charged in addition.
Can our club pass transaction fees on to members?
Yes. Club Supporter allows a club to pass applicable transaction fees on to its members rather than absorbing them within the club.
Is there a limit on subscriptions, plans or teams in Core?
No. Core includes unlimited active subscriptions, payment plans, registration forms and teams or groups.
What is the current new-club offer?
For a limited time, eligible new clubs receive:
- A reduced introductory transaction rate of 0.75% + 5p for the first £5,000 of subscription payments processed
- £300 of free kit for the club
- Six months' free use of the Performance, Storage and Case Management packages
The offer may change, so clubs should check the latest pricing page when signing up.
What is the Performance Package?
The Performance Package adds more advanced tools for running and communicating with your club. These include automatic family and coach discounts, pro-rata and Smart Payments, bulk actions, the report builder, monthly email reporting, team and club chat, and events management.
The advertised price is £30 per month.
What is the Storage Package?
Every plan includes gallery storage. The optional Storage Package expands this to 10,000 standard-resolution images and 200 high-resolution images.
The advertised price is £10 per month.
What is the Case Management Package?
The Case Management Package provides confidential welfare reporting and case-management tools, including incident and concern forms, secure external-report links, witness statements, evidence, consent, sealed assessments, audit history and exports.
The advertised price is £10 per month.
Can we add an optional package later?
Yes. Optional packages can be added through the application whenever your club needs them.
Is there a minimum contract?
There is no minimum contract term for the Core platform. Your club can cancel at any time, with cancellation taking effect at the end of the current billing cycle.
Optional packages have a minimum term of one month and then continue monthly until cancelled. A package cancellation takes effect at the end of the current billing period.
Are optional-package fees refundable?
Optional-package fees are normally non-refundable unless Club Supporter agrees otherwise in writing.
GoCardless and receiving funds
Why does Club Supporter use GoCardless?
GoCardless provides the Direct Debit infrastructure used to collect recurring payments. Direct Debit is reliable for ongoing subscriptions and does not expire when a member receives a replacement bank card.
Club Supporter adds the membership, retry, reconciliation and administration tools around those payments.
Do we need our own GoCardless account?
Yes. Where GoCardless is used, the club maintains its own verified GoCardless account and has a separate contractual relationship with GoCardless. Club Supporter connects to that account to manage payments through the platform.
Can we connect an existing GoCardless account?
Yes. If your club already has a GoCardless account, you can sign in to it during setup rather than creating a new one.
Which GoCardless plan should we select?
Select the Standard GoCardless plan. The features clubs would normally seek from higher GoCardless tiers are already provided through Club Supporter, so a higher tier is not required for the integration.
How is the GoCardless account verified?
GoCardless will ask for information about your organisation, its contact details and the bank account into which payouts will be made. It will normally require a 1p payment from that account to confirm ownership. The organisation name should match the name on the bank account.
What business category should we choose in GoCardless?
For a typical sports club, the setup guide recommends:
- Industry: Amusements & Entertainment
- Sector: Membership Clubs (Sports...)
- Business description: Grassroots Sports Club, or similar
Choose the appropriate legal business type for your organisation, such as Charity/Non-Profit or Limited Company.
How quickly do Direct Debit payments reach our bank account?
Provided daily payouts are enabled in GoCardless, funds are normally paid into the club's bank account within three working days of collection.
How quickly do Pay by Bank payments settle?
Pay by Bank payments normally settle the following day.
Subscriptions and payments
Can we create different membership and subscription plans?
Yes. You can create as many plans as your club needs, including adult, junior, family, concessionary or team-specific options. Each plan can have its own price, billing frequency and description.
Are recurring payments collected automatically?
Yes. Once a subscription and Direct Debit mandate are active, Club Supporter manages the recurring billing automatically. Payment records update within the platform, reducing manual reconciliation.
Can we choose the collection day?
Yes. Clubs can set their preferred collection day, and Club Supporter also supports planned break periods where a subscription should not be collected.
Can we collect a joining or sign-on fee?
Yes. A sign-on fee can be added as part of the subscription setup.
Can we collect one-off payments?
Yes. Club administrators can request one-off payments in addition to recurring subscriptions.
What happens when a Direct Debit payment fails?
Club Supporter records the failed payment and automatically retries it two more times, with each retry taking place five days after the previous attempt. This gives three collection attempts in total.
Most failed payments recover without manual intervention. If the final attempt is unsuccessful, the payment remains visible for administrator follow-up.
Can a missed payment be paid immediately?
Yes. Club Supporter includes a Pay Now option for missed payments, allowing an outstanding amount to be recovered without waiting for another normal subscription collection.
Can administrators see who is in arrears?
Yes. Missed and failed payments are tracked in the platform. Administrators can filter payment information and identify subscriptions requiring follow-up.
Can we record a payment taken outside Club Supporter?
Yes. The platform supports offline payment management, including marking an amount as paid outside the automated payment flow.
Can we pause or cancel a member's subscription?
Yes, but this is controlled by authorised club administrators. Members cannot pause, move, change or cancel their own subscription directly.
Can we change a member's plan or payment date?
Yes. Authorised administrators can change the plan or collection day, move a subscription and reinstate a subscription where required.
Can we apply discounts or additional charges?
Yes. Clubs can apply discounts and supplements to reflect their own membership rules or additional charges.
Can family and coach discounts be applied automatically?
Yes. Clubs using the Performance Package can configure automatic family and coach discounts. The platform applies the club's rules when eligible people sign up and adjusts them when circumstances change.
What happens when someone joins partway through a season?
The Performance Package includes pro-rata and Smart Payments. A club can define the period a member should pay for, and Club Supporter can divide the remaining amount across the months left in that period.
Does Club Supporter help with reconciliation?
Yes. Payments are matched to the appropriate subscriptions, records update automatically and administrators can use reporting to review revenue, missed payments and arrears without cross-referencing a separate bank spreadsheet.
Membership registration and member information
Can we create our own registration forms?
Yes. Clubs can create customised registration forms and decide which information must be collected during sign-up.
What information can we collect?
Forms can include standard and custom fields such as member details, emergency contacts, medical conditions, allergies, kit sizes, photo or media consent and information about how the member heard about the club.
Can fields be made required or optional?
Yes. Your club decides which information is mandatory and which questions are optional.
Is the person paying stored separately from the player or member?
Yes. Club Supporter separates the subscriber—the person responsible for the payment—from the player or member receiving the membership. This supports junior memberships, family structures and more accurate member records.
Can a player belong to more than one team?
Yes. A player can belong to one team or several teams without creating duplicate player records.
Can we store player photographs?
Yes. Player profiles can include a headshot and a full-body pose image. Club Supporter can remove a clean image background automatically so the photograph can be used consistently across supported player graphics and profiles.
Can we record sport-specific registration numbers?
Yes. Club Supporter supports sport-specific ID formats. Football clubs can also use the Whole Game checker where applicable.
Who can see sensitive member information?
Access is controlled by role. For example, an authorised coach can access relevant emergency or medical information for their squad, while welfare information can be restricted to appropriate welfare roles. Users should only see the information required for their responsibilities.
Can we export our membership data?
Yes. Clubs can export their member data for purposes such as insurance, affiliation, funding applications, local-authority checks or an offline record.
What should a member do if their information is wrong?
The member should contact an authorised club administrator, who can correct the information held against their membership or player record.
Teams, groups and club roles
What is the difference between a team and a group?
A team represents a sporting squad or playing group. A group is for people who belong to the club but are not organised as a sports team, such as social members, bar members, volunteers or another membership section.
Keeping them separate helps the platform reflect the way the club actually operates.
Is there a limit on the number of teams or groups?
No. Core includes unlimited teams and groups.
Can members belong to several teams?
Yes. A single player or member record can be connected to more than one team.
What roles can be assigned to a team?
Clubs can assign team roles such as coach, manager and team administrator. Club-wide administrators and welfare officers can also be managed through the platform's user controls.
Do coaches get access to the whole club?
Not unless the club gives them a wider role. A coach can be given access to the squad and tools relevant to their own team, while club administrators retain oversight across the entire organisation.
Can we contact a particular team or selection of teams?
Yes. Communications can be sent to one team, several selected teams or the whole club by email or SMS.
Can pricing rules be linked to teams?
Yes. Discounts, supplements and one-off charges can be applied within the team structure. Performance also supports automatic coach and family discounts.
Can a team have its own sign-up link?
Yes. Team or group sign-up links are available within Club Supporter's enhanced plan-management features, making it easier to direct people to the correct option.
What happens to an old team?
It can be archived rather than deleted. This removes it from the main active-team list while retaining its players, photographs and history.
Can we display team sponsors?
Yes. Teams can maintain a sponsor gallery alongside their team information and photographs.
Users, access and permissions
Can more than one person help administer the club?
Yes. User management allows the club to give appropriate access to authorised volunteers and officials rather than relying on a single shared login.
Should volunteers share an administrator login?
No. Each authorised person should use their own account. This is more secure and allows the club to control access according to each person's responsibilities.
Can access be limited by team?
Yes. Team roles allow coaches and other team officials to work with their own squad without automatically receiving access to every team or every area of club administration.
Can welfare access be kept separate from normal administration?
Yes. Welfare Officers have a specific role, and confidential welfare-case information is restricted to the appropriate authorised users.
Does the club remain in control of access?
Yes. Club administrators manage authorised users and roles. The club is also responsible for keeping its account details current and removing access when a volunteer or official no longer requires it.
Email and SMS communications
What communication tools are available?
Club Supporter supports bulk email and SMS, an email builder, email templates and automated platform emails. Messages can be targeted using the membership and team information already held in the platform.
Who can receive a message?
You can contact a specific team, a selection of teams or the whole club. This helps ensure messages reach the relevant players, parents, members or coaches without manually copying contact lists between systems.
How many emails are included?
Core includes two emails per member per month. The Performance Package includes unlimited email sending.
Can we create branded emails?
Yes. Club Supporter supports club-branded emails and includes an email builder for producing clear, consistent messages.
Can we save email templates?
Yes. Email-builder templates are available within the platform's enhanced communications features, allowing clubs to reuse regular communications.
Can we send SMS messages?
Yes. SMS can be used for shorter or time-sensitive communications. Your account manager can confirm any applicable message charges for your club.
Who is responsible for communication consent?
The club is responsible for ensuring it has the required permissions and lawful basis to contact recipients, for the content of messages it sends, and for complying with UK GDPR, PECR and unsubscribe requirements.
Reporting and analytics
What reporting is included in Core?
Core includes the club dashboard and standard reporting, giving administrators a current view of membership, subscriptions and payments.
What additional reporting is included in Performance?
Performance adds the report builder and monthly email reporting, allowing clubs to create, save and reuse more tailored reports.
Can reports be filtered?
Yes. Reporting can be filtered using criteria such as team, membership tier, date range and payment status. The report builder allows several filters to be combined.
Can we see revenue by team?
Yes. Team-based reporting helps clubs understand the membership income generated by different parts of the organisation and identify teams where members have not converted into active payment.
Can we report on arrears and failed payments?
Yes. Club Supporter tracks missed payments and provides filters to help administrators find the subscriptions requiring attention.
Does Club Supporter provide cashflow projections?
Yes. The reporting tools can use current recurring subscriptions and billing schedules to show expected income over the coming weeks and months, helping the club make better-informed spending decisions.
Can reports be exported?
Yes. Reports and underlying membership information can be exported when the club needs to share or work with the data outside Club Supporter.
Club Shop, kit and fulfilment
Is an online shop included?
Yes. Every Club Supporter club can have its own online shop as standard, with no separate shop-platform fee.
Who manages fulfilment?
Club Supporter provides the full fulfilment service. Members place and pay for orders online, and Club Supporter handles the order through production and delivery.
Can we design our own club kit?
Yes. The visual kit builder lets your club select base colours, add its badge and sponsor branding, and configure supported personalisation such as initials or squad numbers.
What products can we sell?
The range can include playing kit, training wear, hoodies, coats, hats and water bottles, with products presented in your club's colours and branding.
Is there a minimum order quantity?
No. Members can order individually, so the club does not have to collect money or wait until it reaches a bulk-order quantity.
Can the club set its own selling price?
Yes. The club can set its retail prices and add a markup to products.
Does the club earn money from shop sales?
Yes. The difference created by the club's markup generates income for the club. Amounts due to the club are reconciled and paid monthly in arrears, subject to any refunds, disputes, chargebacks or other necessary adjustments.
How long does branded kit take?
The normal production and delivery time for branded kit is two to four weeks.
Can orders be collected?
No. Shop orders are delivered to the customer; a collection option is not currently available.
Can a personalised or club-branded item be returned?
Made-to-order branded or personalised items cannot be returned unless Club Supporter has made an error with the order. Customers should check the product and size information carefully before ordering.
Where can customers check product sizes?
The Club Supporter Size Guide contains measurements for the available garment types and size ranges.
Who helps with an order problem?
Club Supporter provides live support for shop orders. Customers should have their order details available when they contact the team.
Galleries, player images and storage
Can each team have its own gallery?
Yes. Team Galleries provide a place to build a photographic history for each squad across seasons, tournaments and other club activity.
Are galleries available on every plan?
Yes. Every plan includes some image storage. The amount of available standard- and high-resolution storage depends on the package selected by the club.
What is the difference between standard and high-resolution images?
Standard-resolution images are suitable for normal online use. High-resolution images retain more detail where the club needs a larger or better-quality original.
What does the Storage Package include?
The Storage Package increases capacity to 10,000 standard-resolution images and 200 high-resolution images for £10 per month.
Are gallery images lost when a team is archived?
No. Archiving a team removes it from the active list while preserving its gallery, players and history.
Can player profile photographs be stored separately?
Yes. A player can have both a headshot and a full-body pose image. Where the source image has a clean background, Club Supporter can remove that background automatically.
Who is responsible for permission to use photographs?
The club is responsible for obtaining and recording any consent or lawful basis required to upload, store, share or publish photographs, particularly where children are involved.
Club documents
Can Club Supporter store our policies and club documents?
Yes. Club Documents gives the club a central place to store documents such as policies, procedures and codes of conduct.
Can documents be shared with members?
Yes. The club can choose which documents remain internal and which are made available to club members.
Can members be asked to agree to a code of conduct?
Yes. A club can require parents or players to agree to specified codes of conduct during the checkout or registration process.
Who controls the documents?
Authorised club administrators manage the documents, their visibility and any requirement for member agreement.
Does Club Documents replace the club's responsibility for keeping policies current?
No. Club Supporter provides the storage, sharing and agreement tools, but the club remains responsible for the content, approval and review of its policies and procedures.
Welfare and case management
What is the Case Management Package designed for?
It helps a club receive welfare incident or concern reports, restrict access to authorised Welfare Officers, manage a case through to a recorded outcome and maintain supporting evidence and history in one secure place.
Who can access confidential cases?
Confidential case-management access is limited to authorised Welfare Officers rather than being available to ordinary team users or all club administrators.
Can someone outside the club submit information?
Yes. A Welfare Officer can issue a single-use reporting link to someone outside the club. That person can provide the requested information without needing a normal Club Supporter account.
Can witnesses provide documents and consent?
Yes. The secure witness portal supports statements, documents and consent without requiring the witness to log in to the main club platform.
Does the system keep an audit history?
Yes. The package includes sealed assessments and a complete case audit history, helping the club maintain a record of what happened and when.
Can a case be exported?
Yes. Case information can be exported by an authorised user when it needs to be retained or shared through an appropriate safeguarding process.
Is welfare case management included in Core?
No. It is provided through the optional Case Management Package, advertised at £10 per month.
Does the software make safeguarding decisions for the club?
No. It provides secure reporting, evidence and case-recording tools. The club and its authorised safeguarding personnel remain responsible for assessment, decisions, escalation and compliance with their governing body's procedures.
Fundraising and Grassroots Lottery
Does Club Supporter offer a fundraising option?
Yes. Clubs can raise recurring income through Grassroots Lottery, a separate lottery service operated for sports clubs.
How much does a Grassroots Lottery ticket cost?
A supporter pays £5 per month for each ticket.
How much does the club receive?
The supporter's nominated club receives 50% of every ticket sold. That is £2.50 from each £5 monthly ticket.
What can supporters win?
Supporters enter a daily draw with the chance to win a £5,000 national jackpot every day.
Who manages the lottery?
Club Supporter handles compliance, draw management, prize payments, player communications and maintenance of the lottery platform on the club's behalf.
Is Grassroots Lottery regulated?
Yes. It is operated by Club Supporter as a licensed External Lottery Manager and is licensed and regulated in Great Britain by the Gambling Commission under account number 53170.
Is there an age restriction?

Club Supporter FAQs for members and parents
Joining and registration
How do I join my club through Club Supporter?
Use the registration or plan link provided by your club. The sign-up process will guide you through selecting the relevant membership, entering the required information and setting up payment.
Am I registering myself or someone else?
The sign-up process distinguishes between the person responsible for the subscription and the player or member receiving the membership. This allows a parent or guardian to register a child while remaining responsible for the payment.
What information will I need to provide?
This depends on the club. It may ask for contact information, emergency contacts, medical conditions, allergies, kit size and relevant consents. The club decides which questions are required.
Why does my club ask for medical and emergency information?
This gives appropriately authorised club officials access to important information when it is needed, such as a coach checking an emergency contact or relevant medical note at training or a match.
Who can see the information I submit?
Access is based on club roles. Authorised people see only the information required for their responsibilities. For example, an appropriate coach may see relevant squad information, while confidential welfare cases are restricted to authorised Welfare Officers.
What should I do if my information changes?
Contact your club administrator and ask them to update the relevant membership or player record.
Member subscriptions and payments
How will my membership payment be collected?
Recurring membership payments are normally collected by Direct Debit through GoCardless. Your club may also use Club Supporter for sign-on fees, one-off payments or Pay by Bank transactions.
Will I need to make the payment manually every month?
No. Once your Direct Debit mandate and subscription are active, recurring payments are requested automatically according to the plan configured by your club.
Why is the amount different from the club's basic membership price?
Your club may have applied a joining fee, supplement, discount or transaction fee. Contact the club administrator if you need a breakdown of the amount charged.
What happens if my Direct Debit payment fails?
Club Supporter automatically retries the payment twice, with each new attempt made five days after the previous one. If all three attempts fail, the outstanding payment remains visible to the club for follow-up.
Can I pay a missed payment without waiting for the next retry?
Where the option is available, you can use Pay Now to clear the missed amount. Your club administrator can help if you cannot see the option or are unsure what is outstanding.
Can I pause or cancel my own subscription?
No. Subscription changes, pauses and cancellations are controlled by authorised club administrators. Contact your club directly and follow its membership or notice policy.
Can I change my membership plan or collection date?
Not directly. Ask your club administrator, who can make permitted changes to your plan or collection date.
Does Club Supporter decide whether I receive a refund?
Membership prices, cancellation terms and refund decisions are set by your club. Contact the club first if you believe a payment is incorrect. Club Supporter can help an authorised administrator investigate the payment record where necessary.
Can my family receive a sibling discount?
If your club offers family or sibling discounts and has configured them through the Performance Package, Club Supporter can apply the club's rules automatically. The eligibility and amount are decided by your club.
Can a volunteer coach receive a discount?
If your club offers a coach discount and has configured it in Club Supporter, the discount can be applied automatically. The club decides its eligibility rules.
Communications and accounts
What messages can my club send through Club Supporter?
Your club can send branded emails and SMS messages to the whole club, selected teams or groups. Messages may include membership, payment, team or general club information.
Why have I received a Club Supporter email or SMS?
Club Supporter sends communications on behalf of your club using the contact information connected to your membership or account. Contact your club if you think you have been included in the wrong team or communication group.
Who should I contact about my team, membership price or club policy?
Contact your club directly. The club controls its teams, prices, membership rules, discounts, subscription changes and policies.
Who should I contact about a technical problem?
You can contact Club Supporter through the in-app live chat during UK business hours or email support@clubsupporter.co.uk. For account-specific changes, the support team may need to involve an authorised club administrator.
Club Shop orders
Where can I find my club's shop?
If your club has enabled its shop, it appears within the same Club Supporter platform used for membership and subscriptions. You do not need a separate shop account.
Can I order a single item?
Yes. There is no need to wait for the club to place a bulk order. Members can order the products they need individually.
Can products be personalised?
Available personalisation depends on the product and the design selected by the club. Supported options can include initials and squad numbers.
How do I choose the correct size?
Check the Club Supporter Size Guide before ordering. Because branded and personalised products are made to order, it is important to check the garment measurements rather than relying only on the size name.
How long will my branded kit take?
Branded kit normally takes two to four weeks for production and delivery.
Can I collect my order?
No. Orders are delivered; collection is not currently available.
Can I return an item?
Made-to-order branded or personalised products cannot be returned unless Club Supporter has made an error with the order. Check the design, personalisation and size information carefully before completing your purchase.
Who should I contact about an order problem?
Contact Club Supporter through live support and provide your order details so the team can investigate.
Still need a hand?
Our team can help clubs and members find the right answer.
